Global Payment Transformation: Scaling TUI’s Digital Infrastructure with Stripe

Square1 partnered with TUI, the world’s preeminent leisure and tourism group, to engineer a sophisticated global payment orchestration layer. This strategic initiative was designed to dismantle fragmented, manual financial workflows and replace them with a high-performance, automated ecosystem powered by Stripe. The project managed a complex digital transformation across critical international markets, including the Netherlands, Germany, Sweden, and Thailand. By transitioning from labor-intensive payment link generation to a fully synchronized infrastructure, Square1 provided TUI with the scalability required to manage multi-phase travel bookings while maintaining absolute financial integrity across its global operations.
As a certified Stripe Partner Agency and technical expert, Square1 architected the end-to-end Stripe infrastructure. Our responsibility encompassed the strategic scoping, technical design, and deployment of a solution rooted in deep expertise of the Stripe product stack, specifically Payments, Billing, and Radar. Our primary objective was to design a robust flow of funds and technical logic that defines complex fund flows and multi-phase installment logic tailored to the travel sector’s unique regulatory and operational needs.

The Client
TUI is a German multinational leisure, travel, and tourism company and the largest of its kind globally. Headquartered in Hanover, the group operates a massive portfolio including airlines, hotels, cruise ships, and retail shops. TUI provides end-to-end holiday experiences for millions of customers, requiring an enterprise-grade financial infrastructure capable of handling immense scale and regional complexity.


Challenge
Before the partnership with Square1, TUI’s payment processes were hindered by operational silos and manual bottlenecks. Staff were previously forced to manually generate payment links to keep pace with booking demands. This inefficient process led to a heavy reliance on manual work, increasing operational costs and the risk of human error.
In certain countries such as Thailand, destination staff and "Service Delivery teams" at local REP (Representative) offices are strictly prohibited from handling customer payments directly. TUI required a secure, compliant way for these teams to trigger payments without touching sensitive financial data.
The travel industry involves intricate "payment phases", specifically a 30/70 split (30% at signing, 70% balance due). TUI lacked an automated system to manage these rules, handle price modifications, and reconcile this data with a central "source of truth."


Solution
Square1 helped to integrate a robust automation layer that bridges the gap between TUI’s internal CRM software, their enterprise ERP, and the Stripe API using Stripe Billing and subscription schedules to orchestrate TUI’s complex installments payment flows.
Crucially, Square1 worked on implementing logic to handle modifications; if a travel agent changes a tour price or date, the system automatically updates the purchase without requiring a new subscription.
To maintain data integrity, Square1 ensured TUI’s internal CRM remains the ultimate source of truth. Every transaction, modification, and refund within Stripe is fed back to the CRM and synchronized with their enterprise ERP. This ensures that the Service Delivery teams and Stripe remain perfectly aligned throughout the booking lifecycle.
By prioritising synchronous payment methods, the system provides immediate success or failure feedback to both the traveler and the internal REP platform. This allows local staff to trigger secure payment links that confirm bookings in real-time, eliminating the manual reconciliation lag that previously required manual intervention.

Result
The partnership has transformed TUI’s financial operations into a model of market agility and efficiency. By moving to an automated orchestration layer, TUI has eliminated a lot of manual work and gained granular visibility into its global cash flow.
